Most notes are written too late, from memory, and memory is a much worse recorder than it feels like from the inside. In 1885, the German psychologist Hermann Ebbinghaus ran one of psychology's strangest experiments, on himself. He memorized long lists of nonsense syllables, then measured how much work it took to learn each list again after a delay. An hour later he had to redo about half of the original effort. A day later, about two thirds. His forgetting curve is still taught in introductory psychology. Customer calls are not nonsense syllables, but the curve is just as unforgiving. Notes written the next morning are a reconstruction, and reconstructions keep the gist and lose the details that matter: the exact phrase, the number the customer mentioned, the thing you promised in the last two minutes. ## What a call notes template should capture Every customer call produces the same five kinds of information. A template is a set of headings that makes sure none of them slips away. - **Their words.**Three to five verbatim quotes that capture how the customer sees the problem. - **Problems.**What happened, when, what it cost them, and how they work around it today. - **Requests.**What they asked for, plus the reason behind the ask. - **Promises.**Everything you committed to, with an owner and a date. - **Next step.**What happens now, and what the customer agreed to do. ## The call notes template Copy this into your CRM, your notes app or a shared doc. Keep the headings identical every time, so anyone on the team can scan anyone else's notes. ``` `CALL NOTES Account: Date: Call type: Attendees (us): Attendees (them): Recording link: THEIR WORDS (verbatim, 3 to 5) * "..." PROBLEMS * What happened / when / what it cost / current workaround REQUESTS * The ask / the reason behind it / how often it comes up PROMISES WE MADE * What / owner / by when WHAT THEY COMMITTED TO * Next meeting, intro, trial, data access, decision NEXT STEP ROUTE TO * Product / sales / support / success` ``` If you prepared for the call with our [pre-call planning](https://closedloop.sh/blog/pre-call-planning)routine, the top of this template is already half filled in. The plan is the question you walked in with, and the notes are the answer you walked out with. ## Why exact quotes beat summaries Summaries flatten severity. "Customer finds exports slow" and "I lose every Friday afternoon to exports" describe the same issue, but only one of them tells a product team how much it matters, and only one of them will make an engineer care. Notes that get lost "Customer finds exports slow" "Wants better reporting" "Will follow up" Lives in one person's notebook Notes that travel "I lose every Friday afternoon to exports" "Needs a weekly report the CFO can open without help" "We send the export fix date by Thursday (owner: Dana)" Lives where the whole team can find it Quotes also survive the trip between teams. A summary gets summarized again by the next person who reads it, and again after that, until "I lose every Friday afternoon" becomes "reporting improvements" on a roadmap slide. A quote stays the same no matter how many times it is forwarded. ## Versions for sales, success and product The core headings work for every customer-facing role. Each team adds a few of its own. Team Add these headings Why Sales Decision process, budget timing, other tools mentioned Deals stall on what nobody wrote down Customer success Adoption, health, renewal date, champion status Renewals turn on changes nobody announces Product The workflow around the problem, frequency, workaround Requirements live in how people work today Whatever the role, the promises section is the one that pays for itself fastest. Customers remember every "I'll check with the team". Teams that track them, and come back with an answer, earn a level of trust that no feature can buy. ## Five call note mistakes - **Summarizing instead of quoting.**You keep your interpretation and lose their meaning. - **No promises section.**Commitments made on calls vanish more reliably than anything else. - **Notes in a private doc.**If the next person on the account cannot find them, they do not exist. - **Writing them tomorrow.**Ebbinghaus already ran this experiment for you. - **No routing.**A product request sitting in sales notes never reaches the product team. ## Recorded calls change the job If your calls are recorded and transcribed, the template's job changes. You no longer need to capture everything, because everything is captured. What a recording cannot do on its own is point at what matters: the three sentences in a 45-minute call that a product team should hear, the promise buried at minute 41, the request that ten other customers made too. That is why recordings so often go unread. As we wrote about the [product feedback hiding in meeting recordings](https://closedloop.sh/blog/zoom-meeting-recordings-product-intelligence-untapped), the information is there and nobody has time to find it. The best notes in a recorded world are short, structured and full of pointers. The same notes become the backbone of a quarterly business review that customers want to attend. ## Where ClosedLoop AI fits ClosedLoop AI reads every recorded call, ticket and CRM note you connect and keeps the important parts attached to the account: the customer's requests in their own words, the problems they described and what shipped since. You still take notes for your own thinking. You stop being the only record. Before the next call on that account, it all comes back as a [pre-call brief](https://closedloop.sh/features/pre-call-brief), with the landmines first, every open ask quoted from the source and how many other customers share the same pain. The notes from one call become the preparation for the next, without anyone retyping a thing.
